Privacy policy

Rostrum (“the app”) is a club-management tool for public speaking clubs. This policy explains what information the app collects, why, and how it's handled. Rostrum is an independent app and is not affiliated with, endorsed by, or sponsored by Toastmasters International.

Information we collect

Account information. When you create an account, we collect your email address, password (stored securely and never visible to us in plain text), full name, and phone number. Phone number is used so club officers can add you to club communication channels (e.g., WhatsApp groups); it is only visible to officers of clubs you belong to or attend.

Profile photo. You may optionally upload a profile photo, chosen from your device's photo library.

Club and meeting data. If you join or create a club, we store your membership status, officer role (if any), meeting attendance, role assignments (e.g., Speaker, Evaluator, Timer), speech requests, and votes you cast for meeting awards. Votes are stored per-member to prevent duplicate voting, but individual votes are not shown to other members, only aggregate results are.

Guest records. If you attend a club as a guest, or are registered as a guest by a club member, we store your name, and optionally your email and the reason for your visit.

Financial records. Club officers may record dues payments and expenses. These records may reference your name if a transaction is associated with you.

Location. If you're a club officer, you can optionally tap “Use my current location” when setting up your club to set a fixed coordinate for where it meets. This lets other users find your club's meetings through the “Nearby Meetings” feature (meetings within 40 km, in the next 7 days). We do not continuously track your location, it's requested only at that moment, and stored as the club's location, not tied to your personal account.

Push notification tokens. If you enable notifications, we store a device push token (via Expo's push notification service) to deliver alerts about meeting role assignments and reminders.

Crash and error data. If the app crashes or encounters an error, technical diagnostic information (device type, OS version, app version, and a stack trace of what the app was doing) is sent to our error-monitoring provider so we can fix the problem. This is tied to an internal account identifier, not your name or email.

How we use this information

We use the information above solely to operate the app's core features: club membership management, meeting scheduling and role assignment, voting, guest tracking, and notifications. We do not sell your information, and we do not use it for advertising.

Data sharing

Club data (your name, role, and meeting participation) is visible to other members of clubs you belong to. Financial and guest records are visible to officers of the relevant club. We do not share your information with third parties except:

  • Supabase (our backend/database provider), which stores app data on our behalf.
  • Expo, which delivers push notifications on our behalf.
  • Sentry, which receives crash and error diagnostics so we can identify and fix bugs.

Data retention and deletion

You can update or remove your profile information at any time from within the app. You can also request full account deletion from within the app, from your Profile screen. Deletion requests are held for a 30-day grace period, during which you can cancel the request and keep your account; after 30 days, your account and personal data are permanently deleted, except where retention is required for another member's club records (e.g., historical meeting role assignments). Children's privacy

Rostrum is not directed at children under 13, and we do not knowingly collect information from children under 13.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
